Event Coordinator Assistant

The Conference Assistant provides administrative support for medical conferences and educational events in the Faculty of Medicine. This role involves assisting with administrative tasks, compiling on-site course materials, and summarizing post-conference evaluation results.
Key Responsibilities- Transcribe and summarize conference evaluation comments with attention to detail
- Calculate conference data and create statistical reports with graphical representations
- Coordinate the completion and dissemination of evaluation summaries to external partners
- Assist in creating and disseminating accreditation certificates to committee members, speakers, and instructors
- Provide administrative support to the Conferences Team in planning and executing educational events
- Maintain filing and storage systems for evaluation data and kit preparation materials
- Update progress on assigned tasks using Excel spreadsheets
- Assist with collecting and summarizing documents for review of accreditation applications
- Communicate regularly with team members on task status
- Assist with data clean up and standardization for uploading into the registration database
- Conduct environmental scans for targeted marketing purposes
- Produce and distribute written correspondence to external and internal partners
The Conference Assistant works in a combination of remote and on-site settings.
Requirements- High School graduation, plus two years of related experience, or an equivalent combination of education and experience
- Ability to compose written materials using clear and concise business English
- Ability to accurately proofread for spelling, grammar, and punctuation
- High level of proficiency in MS Word, Excel, PowerPoint, and Outlook
- Experience working with the medical community is an asset
