Administrative Support Specialist

The Role
This role involves providing administrative support to ensure the smooth operation of our office. Responsibilities include:
- Greeting visitors, vendors, and employees with professionalism and courtesy;
- Answering incoming calls and forwarding them as necessary or providing required information;
- Providing assistance with client and staff inquiries or requests in a forward-facing role;
- Receiving, sorting, and delivering mail and packages according to routing instructions;
- Indexing and routing incoming mail (physical and electronic) to the appropriate employee or uploading into system applications;
- Logging and distributing incoming checks;
- Maintaining accurate production activity records in our database;
- Preparing and posting outbound Canada Post mail and packages;
- Filing maintenance and meeting services support, including room scheduling, set-up/take-down, catering, etc.;
- Managing access cards for the site, including visitor card distribution;
- Managing inventory par levels for office and pantry supplies;
- Maintaining copy centers and cafes;
- Ensuring timely handling of facility and office services tickets;
- Ensuring adherence to health and safety protocols;
- Maintaining a safe and clean lobby area;
Key qualifications for this role include:
- A high school diploma or equivalent;
- Customer service and office experience are preferred;
- Excellent communication and customer service skills, both written and verbal;
- A professional demeanor, appearance, and attitude;
- Ability to prioritize and handle multiple tasks effectively;
- Data entry skills and familiarity with Microsoft Office applications (Word and Excel);
- Ability to lift 50 pounds.
