About the Role

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at March of Dimes Canada. As an Administrative Coordinator, you will provide critical support to our program management team, ensuring the smooth operation of our office and the delivery of our services.

Key Responsibilities
  • Provide administrative support to the program management team, including preparing and submitting confidential documents and maintaining internal recording systems.
  • Process outgoing payments in compliance with financial policies and procedures, and verify and investigate discrepancies in vendor accounts and statements.
  • Update and maintain program manuals and other organizational manuals as required.
  • Organize and prepare for meetings and presentations, including attending and taking minutes as needed.
  • Maintain and assist with continuous improvement of data collection systems to support the program.
  • Enter and manipulate data on CRM, ERP, Excel, and Quattro database spreadsheets.
  • Coordinate training and travel arrangements, and perform general office administrative duties such as inventory maintenance and equipment maintenance.
Requirements
  • Minimum Grade 12; Business or Accounting College Diploma preferred.
  • Minimum 3 years related administrative experience.
  • Advanced experience in Microsoft Office: Word, Excel, and PowerPoint.
  • Familiarity with Quality Management Systems, including ISO.
  • Experience in designing forms in a creative and technically sound manner.
  • Hands-on experience with spreadsheets and proprietary software.
  • Ability to function in an organized manner, take initiative, and problem-solve.
  • Ability to take verbal and written direction and follow through to complete assigned tasks.
  • Flexibility to changing demands of the job.
  • Strong interpersonal and communication skills.
  • Good command of grammar and accuracy with figures (attention to detail).
  • Possess a valid driver's license and access to a reliable vehicle.
