Job Summary

We are seeking a highly skilled Lease Administration Specialist to join our team at Cadillac Fairview. As a key member of our property management team, you will be responsible for providing leadership support and expertise to regional and property staff relating to lease interpretation and tenant queries.

Key Responsibilities
  • Analyze Tenant Proposal Forms to validate information and identify potential financial losses to the organization.
  • Consult with Leasing Executives to highlight risks and recommend alternative solutions.
  • Manage Tenant Proposal Forms through every stage of the leasing process, ensuring deals are imported into our property management system on a timely basis.
  • Facilitate accurate financial and operational reporting.
  • Review Document Request Forms prepared by General Managers to ensure amendments have been tracked correctly in our system.
  • Manage the administration of signed documents, such as Leases, Lease Amending Agreements, Specialty Leasing Agreements, and License Agreements, to ensure tenants are billed in accordance with the legal document at all times.
  • Identify Lease exceptions as they relate to recoveries and manage the administration of these exceptions by tracking them in our system and in the Recovery Manual.
  • Complete lease exceptions analysis to determine the financial impact of selected exception deals.
  • Provide ongoing leadership support and expertise to property staff relating to lease interpretation and tenant queries.
  • Monitor the set-up of deals in our system to ensure that revenue policies and procedures have been followed at all times.
  • Calculate monthly recoveries and post the recovery accruals.
  • Provide training to property and regional staff on the Commercial Management section of our property management system and other relevant tools.
  • Work with Senior Directors, Finance Services to promote and implement new system initiatives and revenue procedures.
Requirements
  • University degree in accounting, finance, commerce, business, or a related field.
  • Minimum years of experience in property management.
  • Advanced knowledge in Word and Excel.
