Document Control Lead

Term of Employment: Full-time, Regular

Language: English

Weekly work hours: 40

Location of work: Toronto, Ontario

Wage Range: $87,000 - $100,000 annually

Key Responsibilities:

  • Develop and implement a Document Management framework to ensure compliance with the Governance system framework.
  • Develop, implement, and assess the implementation of Document Management procedures and processes.
  • Ensure project documentation is received, tracked, and monitored according to the Document Management Plan, including performing quality and compliance audits on documentation.
  • Identify and lead system improvements and rollouts.
  • Lead, mentor, and support the document control team to effectively deliver in a complex construction environment, including providing training to the project team on document management.
  • Undertake reporting and complete audits to ensure document management processes are well implemented and ensure data integrity.
  • Onboard project team and subcontractors to the document management system, including managing multiple subcontractor/vendor deliverables within the EDMS.
  • Ensure client and other stakeholders are onboarded to the document management system and supported through the lifecycle of the project.

Requirements:

  • 5-8 years of previous experience in a document management role within the construction, infrastructure, or related industry is required.
  • Advanced knowledge of progressive completion and handover process within an alliance project.
  • Previous experience leading a document control team, including facilitating team member growth and development by providing regular coaching and supportive feedback.
  • Proven experience in all areas of document management, including issue, creation, retrieval, retention, audit, turnover, and continuous improvement strategies.
  • Proficient experience with Aconex and Procore, including Microsoft Office Suite.
  • Strong oral and written communication skills.
  • Excellent time management skills with the ability to proactively identify project document management needs and work effectively within a fast-paced environment with various deadlines and competing priorities.
  • High level of knowledge in relation to asset management and turnover is desirable.
  • High school diploma is required, studies related to the field are an asset.
