About the Role

We are seeking a highly organized and detail-oriented Office Administrative Assistant - Coordinator to join our team at THE STALLION TRANS-BORDER GROUP INC. in a permanent position.

Key Responsibilities
  • Event Planning and Coordination: Arrange and coordinate seminars, conferences, and other events to ensure their smooth execution.
  • Supervision and Leadership: Supervise and lead a team of 16-20 people, providing guidance and support to ensure the team's success.
  • Policy Development and Implementation: Establish and implement policies and procedures to ensure the efficient operation of the office.
  • Training and Development: Train and develop other workers to enhance their skills and knowledge.
  • Office Management: Determine and establish office procedures and routines, ensuring the office runs smoothly and efficiently.
  • Scheduling and Appointments: Schedule and confirm appointments, meetings, and events.
  • Contract Management: Manage contracts, agreements, and other documents related to the office's operations.
  • Customer Service: Provide excellent customer service, responding to employee questions and complaints in a timely and professional manner.
  • Inventory Management: Order office supplies and maintain inventory levels to ensure the office is well-stocked.
  • Payroll Administration: Oversee payroll administration, ensuring accurate and timely payment of employees.
  • Reception and Greeting: Greet people and direct them to contacts or service areas.
  • Information Management: Set up and maintain manual and computerized information filing systems.
  • Correspondence and Documentation: Type and proofread correspondence, forms, and other documents.
  • Research and Data Entry: Conduct research and perform data entry tasks as required.
  • Performance Reviews: Conduct performance reviews to evaluate employee performance and provide feedback.
  • Operations Management: Plan, organize, direct, control, and evaluate daily operations to ensure the office runs efficiently.
Requirements
  • Education: College/CEGEP diploma or equivalent.
  • Experience: 1 to less than 7 months of experience in an administrative role.
  • Language: Fluency in English.
  • Computer Skills: Proficient in Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, Quick Books, and Adobe Acrobat Reader.
  • Transportation: Own transportation and willing to travel.
  • Work Environment: Fast-paced environment with tight deadlines and a large workload.
  • Personal Suitability: Ability to multitask, excellent written communication, flexibility, team player, client focus, reliability, and time management.
