Role Overview

The City of Calgary is seeking an Administrative Coordinator to provide exceptional support to the Director and the Director?s Office team. As a key member of the Assessment and Tax business unit, you will be responsible for ensuring effective operations and providing administrative expertise to the Director, Executive Advisor, and Leadership teams.

Main Responsibilities
  1. Manage the Director?s calendar, coordinate meetings, and address scheduling conflicts.
  2. Provide administrative support for the Director, Executive Advisor, and Policy and Strategy team, including report preparation and submission to Executive Leadership Team, Council, and Committees.
  3. Schedule and coordinate travel for the Director, Executive Advisor, or management team.
  4. Reconcile Corporate Credit cards for the Director and Executive Advisor, complete Expense Disclosure procedure.
  5. Monitor A&T Admin email inbox and action items, and provide regular administrative coverage when needed.
  6. Act as primary Corporate Security contact for key card access to Ad Valorem Place, Fitness Center, and Parking Lot.
  7. Manage SharePoint folder permissions for A&T channels and provide eScribe support.
  8. Support Learning and Development activities for the Director?s office and Management teams.

Requirements
  1. A completed 1-year certificate in Business Administration or related field plus at least 5 years of progressively more responsible administrative experience.
  2. Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams) is required.
  3. Experience supporting senior management and/or experience in a Director?s Office is preferred.
  4. Experience using PeopleSoft Human Capital Management (HCM), PeopleSoft Financials and Supply Chain Management (FSCM), and eScribe or equivalent systems will be considered assets.
  5. Excellent communication skills, organization, and time management skills with a strong customer focus.
  6. The ability to exercise professionalism, political acumen, confidentiality, and discretion, resolve conflicting priorities, and work in an environment with multiple demands.
