Administrative Coordinator for Office Operations

We are seeking an experienced Administrative Assistant to join our team at Remarkable Hardwood Flooring. This role will be responsible for providing administrative support to our office operations, ensuring the smooth day-to-day running of our business.
About the RoleThe successful candidate will have excellent organizational and communication skills, with the ability to multitask and work under pressure in a fast-paced environment. The ideal candidate will also possess strong attention to detail and the ability to maintain confidentiality when dealing with sensitive information.
Main Responsibilities- Determine and Establish Office Procedures: Develop and implement efficient office procedures and routines to ensure seamless day-to-day operations.
- Schedule Appointments: Arrange and confirm appointments, meetings, and other events on behalf of the management team.
- Answer Telephone Calls: Respond to incoming phone calls, relay messages, and direct inquiries to the relevant personnel.
- Manage Electronic Enquiries: Handle electronic correspondence, respond to customer queries, and provide support as needed.
- Compile Data and Statistics: Gather and analyze data, statistics, and other information to inform business decisions.
- Order Office Supplies: Source and procure necessary office supplies, maintaining inventory levels to ensure a fully stocked workspace.
- Direct Visitors: Greet visitors, direct them to the relevant contacts or service areas, and provide general assistance as required.
- Maintain Information Filing Systems: Set up and manage both manual and computerized filing systems to ensure accurate record-keeping.
- Type and Proofread Documents: Prepare, edit, and proofread various documents, forms, and correspondence as needed.
The ideal candidate should have proficiency in MS Excel, MS Word, and MS Office, with the ability to learn new software applications quickly.
Work Conditions and Physical CapabilitiesThis role requires working in a fast-paced environment, often under pressure, with a high level of attention to detail. The ability to multitask, work independently, and as part of a team is essential.
