About the Role:

The Shaw Festival Theatre is seeking a highly organized and detail-oriented Coordinator to support the Governors Council. This role will be responsible for providing exceptional stewardship, cultivation, and service support to our valued donors, ensuring that they receive timely and professional responses to their interactions with the theatre.

Key Responsibilities:

  • Assist in implementing ongoing stewardship processes, gift management, and recognition systems to ensure consistent and timely responses to donors.
  • Support the processing of donations, including contacting donors for additional information and finalizing tax receipts and membership cards.
  • Maintain and update donor records to ensure database integrity and file material documents, including scanning and uploading key documents.
  • Coordinate updates to donor listings and recognition in various materials, including house programs, annual reports, signage, and the website.
  • Assist with record-keeping and tracking of stewardship activities and coordinate action items through calendar management.

Ticketing Responsibilities:

  • Provide concierge-level ticketing support to Governors Council members.
  • Assist with special requests from senior administration and development staff, as well as other ticket requests as needed.

Event Coordination:

  • Support the coordination of donor-related events, including open and on-stage rehearsals, special performances, receptions, and cultivation and stewardship events.
  • Communicate with donors regarding events, including invitations, reminders, and updates.
  • Track responses and enter information into the database.
  • Prepare event reports, such as registration lists, as needed.
  • Provide support and/or run events as needed.

Governors Council Hosting:

  • Support the Manager, Governors Council, with exceptional service and hospitality to donors at the Governors Council Lounge during Festival Theatre intermissions.
  • Monitor the lounge for some evenings and on weekends, as needed.

Requirements:

  • Previous experience in a high-performance fundraising environment, preferably with a focus on donor stewardship and cultivation.
  • Excellent organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
  • Attention to detail and ability to manage multiple priorities effectively, with a focus on accuracy and attention to detail.
  • Customer service-centric approach to all donor interactions, with a professional presence and manner.
  • Excellent oral and written communication skills, with the ability to exercise independent judgment and flexibility.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel, and high degree of comfort using a donor database for tracking prospect activity.
