Job Description

We are seeking a highly skilled and experienced Administrative Coordinator to join our Catering and Events team. This dynamic role involves providing comprehensive administrative support, ensuring seamless event execution, and delivering exceptional customer service. The ideal candidate will possess excellent organizational skills, a keen attention to detail, and the ability to work effectively in a fast-paced environment.

Job Responsibilities

The successful candidate will be responsible for:

  • Preparing and managing customer contracts, ensuring all necessary applications and permits are obtained for both internal and external clients.
  • Collaborating with the Catering and Event Services Sales Manager to generate new business leads and expand the client base.
  • Overseeing event logistics, including catering and conference requirements for various functions such as luncheons, dinners, receptions, and bar services.
  • Providing exceptional personalized service to clients by coordinating custom items, such as centerpieces and rentals, tailored to specific event requirements.
  • Assisting the management team by maintaining organized records of contracted business and related information.
  • Managing reservations for event spaces, ensuring optimal utilization of facilities.
  • Utilizing the University of Waterloo systems for the creation, management, and closure of events and bookings.
  • Preparing daily bank deposits and invoices in accordance with departmental policies and procedures.
  • Maintaining comprehensive and organized records of contracted business and related information.

Salary and Benefits

The salary for this position is estimated to be in the range of $55,000 to $65,000 per annum, depending on experience. The successful candidate will also be eligible for a comprehensive benefits package, including health, dental, and vision coverage, as well as a generous retirement savings plan.

Requirements and Qualifications

To be considered for this position, the successful candidate must possess:

  • A completion of a post-secondary program or combination of education and experience.
  • A minimum of 2 years' experience in an administrative role.
  • Previous experience with data entry and cash handling would be an asset.
  • Experience in a sales environment is an asset.
  • Excellent customer service skills with a high degree of professionalism and courtesy.
  • Demonstrated ability to take initiative and work independently and in a team setting.
