Job Title: Administrative Assistant

We are seeking an experienced Administrative Assistant to join our team at Randstad Canada. As an Administrative Assistant, you will provide administrative support to our President and project managers, ensuring the smooth operation of our office.

Key Responsibilities:
  • Provide reception and administrative support to the President and project managers
  • Manage incoming phone calls and direct calls or take messages
  • Order catering services for Monday lunches and order cakes for birthdays
  • Schedule exterior and interior window cleaning services
  • Collect and distribute mail daily
  • Process emails received in the administration box daily
  • Manage inventory and orders for office supplies
  • Classify documentation, both paper and digital
  • Plan internal and external meetings
  • Coordinate the bi-annual update of the vacation calendar
Requirements:
  • DEC in office automation
  • Minimum two years of experience in a similar position
  • Excellent organizational skills and ability to juggle multiple tasks
  • Autonomy, initiative, and strong sense of responsibility
  • Talent for teamwork and collaboration
  • Discretion
  • Excellent French and English language skills, spoken and written
  • Knowledge of Microsoft 365 and Teams environment
  • Knowledge of ABAK software (desirable)
What We Offer:
  • Face-to-face work schedule 4 days per week
  • Monday to Thursday: 9 a.m. to noon and 1 p.m. to 5 p.m.
  • Friday: Teleworking from 9 a.m. to noon or depending on team member presence
  • Salary to be determined based on experience
  • 3 weeks of vacation per year
  • Group insurance plan offered on duty
