Job Description:

The Office Operations Coordinator will be responsible for determining and establishing office procedures and routines, scheduling and confirming appointments, answering telephone calls and messages, and maintaining manual and computerized information filing systems.

Key Responsibilities:

  • Determine and establish office procedures and routines to ensure efficient day-to-day operations;
  • Schedule and confirm appointments with clients and stakeholders;
  • Answer telephone calls and relay messages to relevant personnel;
  • Maintain manual and computerized information filing systems to ensure accurate and up-to-date records;
  • Order office supplies and maintain inventory levels;
  • Greet visitors and direct them to contacts or service areas;
  • Set up and maintain manual and computerized information filing systems;
  • Type and proofread correspondence, forms, and other documents;
  • Perform data entry tasks as required;
  • Provide excellent customer service to internal and external clients;
  • Maintain accurate financial records and establish, maintain, and balance various accounts using manual and computerized bookkeeping systems.

Required Skills and Qualifications:

To be successful in this role, you will need:

  • A high school diploma or equivalent education level;
  • At least 1 year of experience in a similar administrative role;
  • Excellent communication and interpersonal skills;
  • Strong organizational and time management skills;
  • Ability to work accurately and efficiently in a fast-paced environment;
  • Proficiency in Microsoft Office applications, including Excel, Outlook, Windows, and Word.
