Job Summary

We are seeking a highly skilled and motivated Client Service Associate to join our team at BMO. The successful candidate will provide exceptional client service, support Advisory Teams with day-to-day administration, and process transactions efficiently.

Key Responsibilities
  1. Coordinate marketing activities on behalf of the advisory team, including website, social media initiatives, and client recognition.
  2. Schedule and prepare client portfolio reviews, including setting up client calls, meetings, and reviews.
  3. Follow up on client inquiries, account maintenance, new accounts set-up, and transfer funds from registered and non-registered accounts.
  4. Resolve client complaints in a timely and effective manner, escalating as required.
  5. Accept and execute client-initiated trades over the phone or in person and provide stock information as requested.
  6. Handle clients' general day-to-day requests and inquiries, including basic money movement, technology issues, and account opening and update.
  7. Generate reports and documents for IAs and clients as requested and process items for client accounts and files.
  8. Maintain and organize client database and client files.
  9. Monitor incoming and outgoing assets and notify IA of required actions to rebalance portfolios.
  10. Administer and process documentation related to client files and regulatory requirements.
  11. Monitor redocumentation of client accounts on regular cycle to ensure client information and documentation is up-to-date.
  12. Assist in ensuring transactions and tasks are appropriately assigned to team members and completed where required.
Requirements
  • Typically between 3 – 5 years of relevant experience and/or certification in a related field of study or an equivalent combination of education and experience.
  • Knowledge of investment process and procedures.
  • Knowledge of investment products and services is preferred.
  • Knowledge of compliance practices and regulations.
  • Knowledge of Financial/Retirement planning.
  • Successful completion of the Canadian Securities Course & Conduct and Practices Handbook.
  • Current Investment Representative registration or requirement to fulfill registration requirements to become an Investment Representative (IR).
