Job Responsibilities:
  • Review and evaluate new administrative procedures to ensure compliance with company policies and regulations.
  • Establish work priorities and ensure procedures are followed and deadlines are met.
  • Carry out administrative activities of the establishment, including data entry, record-keeping, and correspondence.
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation.
  • Assemble data and prepare periodic and special reports, manuals, and correspondence.
  • Perform data entry tasks efficiently and accurately.
  • Oversee and co-ordinate office administrative procedures, including scheduling appointments and organizing meetings.
  • Schedule and confirm appointments with clients and stakeholders.
  • Organize and schedule office work, ensuring seamless day-to-day operations.
  • Organize conferences and meetings, including preparing agendas and materials.
  • Maintain registration systems, records, and files, ensuring accurate and up-to-date information.
  • Label, file, and retrieve documents efficiently.
  • Answer inquiries and provide information to customers, both internally and externally.
  • Receive and forward telephone or electronic enquiries, providing timely responses to clients and stakeholders.
  • Process incoming and outgoing mail manually or electronically.
Requirements:
  • Bachelor's degree in Business Administration or a related field.
  • At least 2 years of experience in an administrative role, preferably in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams.
  • Proficient in Microsoft Office, including Excel, Word, and Outlook.
  • Familiarity with SharePoint and other productivity tools is an asset.
  • Ability to multitask and prioritize tasks effectively, meeting deadlines and delivering high-quality results.
  • Flexibility and adaptability, with a willingness to learn and take on new challenges.
  • Reliability and discretion, with the ability to maintain confidentiality when necessary.
