Job Title: Executive Assistant to the Board

Job Summary:

The Executive Assistant to the Board provides senior-level administrative and secretarial support to the Board of Governors, acting as the primary contact and liaison with outside agencies and individuals. This role requires a high level of discretion, confidentiality, and organizational skills to manage the Board Office efficiently.

Key Responsibilities:
  • Provides confidential support to the Board of Governors, including coordination of meetings, agendas, and minutes.
  • Liaises with levels of staff, union representatives, outside counsel, government agencies, and public bodies as required.
  • Acts as board liaison with the offices of the Minister and Deputy Minister of the Ministry responsible for Advanced Education, Members of the Legislative Assembly, municipal councils, and other college boards.
  • Coordinates complex meetings, arranges travel, and prepares correspondence using independent judgment.
  • Maintains the board succession plan and competency matrix, and ensures compliance with legislation and college Records Management Policy and Records Retention Schedule.
  • Provides relief coverage for the Executive Assistant to the President and administrative support to Camosun's Executive Team and Senior Leadership Council as requested.
Requirements:
  • Administration, Secretarial, or Legal Secretary diploma, plus five years of senior administrative support experience with one year of experience in a self-reliant position.
  • Experience with event planning, a multi-layered organization, and a post-secondary work environment is an asset.
  • Ability to work independently, use initiative, and be self-directed, with a high level of integrity, discretion, and confidentiality.
  • Superior organization skills, time management skills, accuracy, and sound professional judgment.
  • Superior written and verbal communication and interpersonal skills, with the ability to multi-task, decision-make, meet deadlines, and changing priorities while maintaining a high level of service.
