Job Summary

We are seeking an experienced Employment Programs Coordinator to join our team in the Employment Services department. The successful candidate will be responsible for managing the overall administrative functions of our Employment Ontario Full Suite Employment Services programs, including but not limited to:

  • Liaising with clients for information and referral purposes
  • Coordinating and managing office activities
  • Generating reports and updating databases
  • Preparing correspondence, presentations, and program materials
  • Attending to financial transactions
  • Providing customer service to diverse stakeholders
Key ResponsibilitiesAdministrative Support
  • Provide administrative support to various staff, including preparing reports, budgets, and proposals
  • Manage two separate data management systems and generate periodic reports
  • Plan, organize, and coordinate program functions, events, meetings, and tours
Customer Service
  • Provide customer service in person and/or by phone to diverse stakeholders
Office Management
  • Manage the overall office of the Employment Services department
  • Maintain a functional working environment, including office supplies and equipment
  • Design and implement office procedures and standards
Financial Management
  • Review, monitor, and process financial documents and transactions
Event Planning and Coordination
  • Coordinate and execute client and staff event activities
  • Support planning of hiring events and purchasing of supplies
RequirementsKnowledge and Experience
  • Two years of related work experience in an administrative office environment
  • Administrative, clerical, and reception skills acquired through a post-secondary diploma/degree in Business Administration
  • Computer and Internet literacy with relevant experience and proficiency in database management systems, reporting writing, word processing, and presentation software
  • Knowledge of current best practices on office procedures and use of office equipment
  • Experience and skills in handling financial transactions, including banking, petty cash, bookkeeping, and processing cheques and invoices
Preferred Qualifications
  • Experience working with at-risk youth and adults
  • Comprehensive knowledge of issues faced by multi-barriered youth and adults
  • Knowledge of Employment Ontario suite of programs and other employment training programs
  • Ability to communicate in French, verbally and in written form
