Work Schedule
Monday to Friday, 9am – 5pm, with occasional evenings and weekends as needed. Schedules may be adjusted to meet departmental requirements.
Reporting to the Assistant Supervisor of Employment Services, the Employment Services Program Coordinator operates within a community-based setting, engaging with at-risk youth and adults aged 15 and older, in collaboration with various community organizations. This role is responsible for overseeing the administrative functions of the Employment Ontario Full Suite Employment Services programs, which include the Employment Program, Youth Job Connection (YJC), Youth Job Connection Summer (YJCS), and Digital Media Programs. Key responsibilities include: liaising with clients for information and referral; coordinating office activities; generating reports; preparing correspondence and program materials; managing financial transactions; and ensuring compliance with agency policies and funder guidelines.
KEY RESPONSIBILITIES
Administrative Support
- Provide comprehensive administrative assistance to staff, including report preparation, budget management, and legal documentation. Handle confidential information in accordance with organizational policies and legal standards. Manage data systems and generate reports for management and funders as required; plan and coordinate program events and meetings.
Client Service
- Deliver exceptional customer service in person and via phone to a diverse clientele, including prospective and current clients, program staff, community organizations, funders, and the public.
Office Management
- Oversee the operational aspects of the Employment Services office to ensure a productive work environment: manage office supplies, implement office procedures, train and supervise temporary clerical support, and maintain office equipment.
Financial Oversight
- Review and process financial documents in compliance with organizational policies.
Event Coordination
- Plan and execute events for clients and staff, including hiring events, vendor sourcing, and organizing DEI activities.
QUALIFICATIONS
Knowledge and Experience
- Minimum of two years of relevant experience in an administrative office setting.
- Post-secondary diploma or degree in Business Administration or a related field.
- Proficient in computer applications for database management, report writing, and presentation software.
- Familiarity with best practices in office procedures and equipment usage.
- Experience in managing financial transactions, including bookkeeping and processing invoices.
- Ability to foster positive relationships with team members and stakeholders.
- Strong interpersonal, customer service, and communication skills.
- Excellent organizational skills to manage multiple tasks and deadlines.
- Effective problem-solving abilities to address office program needs and prioritize tasks.
- Skills in crisis intervention and conflict resolution.
PREFERRED QUALIFICATIONS
- Experience working with at-risk youth and adults.
- Understanding of challenges faced by multi-barriered individuals.
- Knowledge of Employment Ontario programs and other employment training initiatives.
- Ability to communicate in French, both verbally and in writing.
- Experience in group facilitation and labor market information dissemination.
- First Aid/CPI certification.
- Willingness to travel as needed.
