Job SummaryWe are seeking an experienced Employment Programs Coordinator to join our team in Toronto. The successful candidate will be responsible for managing the overall administrative functions of our Employment Ontario Full Suite Employment Services programs, including liaising with clients, coordinating office activities, generating reports, and preparing correspondence.
Key Responsibilities- Provide administrative support to various staff, including preparing reports, budgets, and proposals, and handling confidential data.
- Manage two separate data management systems and generate periodic reports for submission to management, staff, and funders.
- Coordinate program functions, events, meetings, and tours for the office.
- Provide customer service in person and/or by phone to diverse people, including prospective and current clients, program staff, community agencies, funders, and the public.
- Manage the overall office of the Employment Services to maintain a functional working environment, including maintenance of office supplies, design and implementation of office procedures, and supervision of short-term clerical supports and interns.
- Review, monitor, and process financial documents and transactions for the department in compliance with organizational policies and procedures.
- Coordinate and execute client and staff event activities, support planning of hiring events, and plan and share DEI activities and information both virtually and in office.
- Two years of related work experience in an administrative office environment.
- Administrative, clerical, and reception skills acquired through a post-secondary diploma or degree in Business Administration.
- Computer and Internet literacy with relevant experience and proficiency in computer applications for database management, reporting, word processing, and presentation.
- Knowledge of current best practices on office procedures and use of office equipment.
- Experience and skills in handling financial transactions, including banking, petty cash, bookkeeping, processing cheques, invoices, and credit card statements.
- Ability to build and maintain positive work relationships with teams in a collaborative manner.
- Ability to work effectively with a wide variety of stakeholders, including prospective and current clients, program staff, community agencies, funders, and the public.
- Excellent interpersonal, customer service, and oral communication skills.
- Excellent work planning and organizational skills to manage and prioritize multiple tasks with competing and tight deadlines.
- Excellent problem-solving and decision-making skills to monitor office programs, clarify priorities, and modify schedules, appointments, and meetings as necessary.
- Experience in working with at-risk youth and adults.
- Comprehensive knowledge of issues faced by multi-barriered youth and adults.
- Knowledge of Employment Ontario suite of programs and other employment training programs.
- Ability to communicate in French, verbally and in written form.
- Ability to provide group facilitation and collect and disseminate labour market information to clients.
- First Aid/CPI certification.
- Ability to travel.
