About the Role

We are seeking a highly skilled and organized Administrative Assistant to join our team at National Bank. As an Administrative Assistant, you will play a key role in supporting the Regional Vice Presidents in the Retail sector, ensuring the smooth operation of their agendas, correspondence, and meetings.

Key Responsibilities
  • Manage the Vice Presidents' schedules, emails, and correspondence, ensuring timely follow-up and response.
  • Coordinate internal and external meetings, preparing all necessary documents and action plans.
  • Interact with external clients, Bank departments, and internal members on various matters, maintaining confidentiality when required.
  • Draft, revise, and improve letters and documents of various types.
  • Support philanthropic initiatives, assisting with solicitation and deadline follow-up.
  • Coordinate travel, business trips, and prepare expense claims and invoice payments, pre-approving managers' expense accounts.
  • Collaborate with the administrative team to improve departmental operations and develop internal procedures and processes.
  • Coordinate employee hiring and departure processes, including IT and HR requests.
  • Participate in special projects as required.
About the Team

You will report to the Regional Vice President of the Retail Sector for the Québec-East region and the Regional Vice President of the Retail Sector for the Québec-West region.

This role is primarily remote, with some in-person meetings to foster partnership within the team. We offer flexible work arrangements to promote work-life balance and flexible leave to support your well-being.

Requirements
  • Completion of a three-year college or vocational diploma or the academic equivalent, related to the sector of activity, and five years of relevant experience.
  • Experience as an assistant is an asset.
  • Excellent command of the Microsoft Office suite and all collaboration tools.
  • Strong ability to adapt and excellent sense of proactivity.
  • Professionalism, rigor, and confidentiality.
  • Excellent interpersonal and teamwork skills.
  • Sense of autonomy, initiative, and urgency.
