Job Title: Program Administrator

The College of Physiotherapists of Ontario is seeking a highly motivated and detail-oriented individual to fill the role of Program Administrator. This position will provide administrative support for the Hearings Office, the College's peer coaches, and physiotherapists going through coaching programs and the Patient Relations Committee.

Key Responsibilities:
  • Provide administrative support for the Hearings Office, including scheduling hearings, coordinating with committee members, and preparing meeting materials.
  • Assist with the administration of the College's Learning Management System and file sharing system.
  • Coordinate and schedule practice assessments, cautions, and other related activities.
  • Provide administrative support to the Compliance Monitoring Networking Group and Practice Enhancement Coaches, as needed.
  • Support committee member onboarding and training, and provide administrative support to the Committee Chair, panels, and counsel as required.
  • Administer post-hearing surveys and report results, and facilitate the ordering of transcripts as required.
  • Ensure that decisions of the Discipline Committee are posted to Canlii in a timely manner.
  • Provide full-cycle support on the day of the hearing, and monitor and report on trends.
  • Schedule meetings of the Patient Relations Committee, prepare agendas, and take minutes.
  • Assist with preparing meeting material, resource material, and decision outcomes for the Committee.
  • Provide updates to funding recipients and care providers in an ongoing way.
Requirements:
  • Post-secondary education in a related area or equivalent combination of education and experience.
  • Two years of relevant experience working in a dynamic office environment.
  • Exceptional attention to detail, ability to self-edit, and ensure accuracy of data, information, and written communication.
  • Excellent written and verbal communication skills, ability to deal effectively with stakeholders over the telephone and in writing, and defuse difficult situations as required.
  • Exceptional time management and organizational skills, with a proven ability to deliver on competing priorities.
  • Solution-oriented, with the ability to solve problems independently, using judgment to escalate as required.
  • Self-starter, with the ability to work with minimal supervision.
  • Ability to deal with organizational change and shifting priorities.
  • Ability to exercise tact and discretion when handling sensitive and/or confidential matters.
  • Proficient in the use of technology in daily work, including Microsoft Office suite, Adobe, case management tools, and database systems.

  • A starting annual base salary range of $56,000.00 to $63,000.00, based on qualifications and experience.
