Job Description: Document Control Assistant

As a Document Control Assistant at Rising Edge Group, you will play a crucial role in maintaining the integrity of our document systems. Reporting to the Senior Document Controller, you will provide support in managing essential documents and records for projects. This role focuses on ensuring compliance with company standards, maintaining version control, and performing regular audits to guarantee accuracy and completeness.


Responsibilities:
  • Maintain electronic and manual records management systems, adhering to proper filing and documentation protocols.
  • Support tracking and logging of documents for various projects, including drawings, contracts, and other critical documents.
  • Assist in maintaining document control procedures, including version control for various drawings (IFC, IFCRs, etc.) and ensure proper distribution to relevant parties.
  • Perform regular audits of documentation to ensure accuracy and completeness.
  • Handle requests for documents from internal departments and external stakeholders, processing these requests in a timely manner.
  • Assist in preparing document transmittals and ensure all documentation meets outlined standards.
  • Support the document classification process, including sorting, filing, and archiving procedures.
  • Maintain an organized filing system for both electronic and hard copy documents.
  • Collaborate with project teams to ensure adherence to document management policies and standards.
  • Contribute to continuous improvement of document control processes and assist in training staff as necessary.

Requirements:
  • A minimum of a 2-year diploma in Business Administration, Records Management, or a related field.
  • 1-2 years of experience in a document control or administrative role.
  • Strong familiarity with EDMS software (e.g., LiveLink, McLaren) would be an asset.
  • Proficiency in Microsoft Office Suite, particularly in Excel and Word.
  • Strong organizational skills, with the ability to manage multiple tasks and set priorities.
  • Excellent written and verbal communication skills.
  • Detail-oriented with a strong focus on accuracy.
  • Ability to work effectively in a team-oriented, fast-paced environment.
  • Prior experience in an engineering or construction environment would be beneficial.

Salary Estimate:

$45,000 - $65,000 per year, depending on experience and qualifications.
