Administrative Coordinator

Pulsenics Inc is a pioneering company that's changing the face of electrochemical technologies. Our mission is to revolutionize how industries use energy, making up 15% of the world's GDP.
We're doing this by applying advanced spectroscopy techniques to industrial electrochemical applications at scale, targeting energy waste problems. Our proprietary hardware injects non-disruptive electrical pulses into an electrochemical system, extracting a unique signature for its State-of-Health.
This innovative technology, combined with our Data Management Software, unlocks fundamental insights leading to the most energy-efficient operations at scale.
Currently, our solutions are being used by customers worldwide to improve electrochemical system design and performance, covering diverse applications from fuel cells and batteries to wastewater treatment and metallurgy.
As an Administrative Specialist, you'll have a direct impact on the development of our next-generation hardware and software products, working alongside our world-class team of innovators and engineers.
Job Responsibilities:- • Provide comprehensive administrative support, ensuring seamless office management and operational efficiency.
• Coordinate travel arrangements for team members, including booking flights, accommodations, and preparing detailed itineraries.
• Manage shipping and receiving functions, working with couriers, tracking shipments, and maintaining accurate records.
• Oversee office supplies and equipment, ensuring cost-effective purchasing and maintaining accurate inventories.
• Manage vendor relationships, including negotiation, communication, and contract oversight.
• Prepare and submit applications and reports, ensuring all deadlines and requirements are met.
• Coordinate contractor activities, ensuring all schedules and records are up to date and detailed.
• Support HR activities, including recruitment, onboarding, offboarding, policy implementation, employee engagement, and performance management.
• Organize team outings and social events to foster a positive and inclusive company culture.
• Provide assistance to team members and visitors, as required, ensuring a positive experience.
• Oversee the upkeep of office space and facilities to maintain a well-organized and functional work environment.
- • At least 2 years of experience in office management, operations management, executive support, or a similar role, preferably in a fast-growing company.
• Exceptional organizational skills, excellent communication and interpersonal abilities, and eagerness to learn and contribute to company initiatives.
• Detail-oriented with a focus on quality and accuracy, outstanding time management and execution skills, strong problem-solving abilities, and adaptability to a fast-paced, changing startup environment.
• Degree or diploma in Engineering, Business Administration, Human Resources, or a related field.
$60,000 - $80,000 per annum, depending on location and experience.
