Job Description

As the Operations Administrator, you will play a crucial role in ensuring the smooth operation of our growing organization. You will be responsible for providing comprehensive administrative support to the Chief of Staff and other executives, including scheduling meetings, managing communications, and organizing travel arrangements.

You will also assist in identifying operational inefficiencies and implementing solutions to streamline processes across various departments. Additionally, you will support the Chief of Staff in managing cross-functional projects by coordinating tasks, tracking progress, and ensuring deadlines are met.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the CEO, Chief of Staff, and CFO, including scheduling meetings, managing communications, and organizing travel arrangements.
  • Operational Efficiency: Assist in identifying operational inefficiencies and implementing solutions to streamline processes across various departments.
  • Project Coordination: Support the Chief of Staff in managing cross-functional projects by coordinating tasks, tracking progress, and ensuring deadlines are met.
  • Data Management: Maintain and organize company data, ensuring accuracy and accessibility for the leadership team.
  • Communication: Serve as a key point of contact for internal and external stakeholders, ensuring clear and timely communication.
  • Documentation: Prepare reports, presentations, and other documentation as needed to support company operations and strategic initiatives.
  • Process Improvement: Identify opportunities for process improvements and work with the Chief of Staff to implement these changes across the organization.
Requirements

We are looking for a highly organized and proactive Operations Administrator who has:

  • 3+ years of experience in an administrative or operational role, preferably within a fast-paced, high-growth environment.
  • Proven ability to manage multiple tasks and projects simultaneously while maintaining attention to detail.
  • Experience supporting senior executives or leadership teams is highly desirable.

Skills:

  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.

Education:

  • Bachelor's degree in Business Administration, Management, or a related field is preferred.
