Rafael Santa Ana Architecture Workshop Inc. is seeking an experienced Administrative Coordinator to join our team.
Job SummaryWe are looking for a highly organized and detail-oriented individual to provide administrative support to our team. The successful candidate will be responsible for coordinating seminars, conferences, and other events, as well as ensuring the smooth operation of the HR department.
About YouTo be successful in this role, you will require excellent communication and interpersonal skills, with the ability to work effectively in a fast-paced environment. You will also need to be highly organized, with a keen eye for detail and the ability to multitask.
Key Responsibilities- Coordinate Events: Arrange and co-ordinate seminars, conferences, etc.
- HR Support: Coordinate the activities of the HR department in order to ensure they meet the organization's goals
- Communication: Coordinate the flow of information within the team
- Leadership: Direct staff
- Operations Management: Evaluate daily operations
- Reception: Open and distribute mail and other materials
- Financial Planning: Plan and control budget and expenditures
- Daily Operations: Plan and organize daily operations
- Recruitment: Plan, develop and implement recruitment strategies
- Scheduling: Schedule and confirm appointments
- Customer Service: Answer telephone and relay telephone calls and messages
- Enquiries: Answer electronic enquiries
- Data Compilation: Compile data, statistics and other information
- Inventory Management: Order office supplies and maintain inventory
- Staff Consultation: Organize staff consultation and grievance procedures
- Travel Arrangements: Arrange travel, related itineraries and make reservations
- Greeting and Direction: Greet people and direct them to contacts or service areas
- Correspondence: Type and proofread correspondence, forms and other documents
- Customer Relations: Provide customer service
- Bookkeeping: Perform basic bookkeeping tasks

- Mentorship Programs: Offers mentorship programs that pair newcomers and/or refugees with experienced employees
- Diversity Training: Provides diversity and cross-cultural trainings to create a welcoming work environment for newcomers and/or refugees
- Youth Employment: Participates in a government or community program or initiative that supports youth employment
- Youth Training: Offers on-the-job training tailored to youth
- Youth Mentorship: Offers mentorship, coaching and/or networking opportunities for youth
- Youth Awareness: Provides awareness training to employees to create a welcoming work environment for youth
- Indigenous Support: Participates in a government or community program or initiative that supports Indigenous people
- Indigenous Mentorship: Offers mentorship, coaching and/or networking opportunities for Indigenous workers
- Cultural Competency: Develops and maintains relationships with indigenous communities, indigenous-owned businesses and organizations
- Elder Support: Facilitates access to Elders who can offer support and guidance to Indigenous workers
