About This Role

Verve Senior Living is looking for a highly skilled and compassionate Receptionist to join our team at Don Mills Retirement Residence. As a key member of our community, you will be responsible for providing exceptional customer service while maintaining a high standard of excellence.

As our Receptionist, you will be the first point of contact for our residents, visitors, and staff. You will be responsible for greeting and welcoming guests, answering and directing calls, and providing administrative support to the management team.

Key Responsibilities

• Participate in continuous quality improvement standards

• Welcome and greet residents and visitors, answering and directing telephone calls in a professional and courteous manner

• Assist with ordering, maintaining, and monitoring office supplies and store inventory

• Field inquiries, including marketing calls, and direct them to the appropriate department in a timely manner

• Communicate with the Marketing department to ensure a smooth move-in process for residents, including welcome packages, resident orientation, and key allocation

• Provide clerical support to the management team and other staff, including data entry, photocopying, faxing, filing, minutes, and spreadsheets

• Assist with the security of the residence by monitoring incoming and outgoing residents, guests, and other people

• Ensure the reception area is kept neat and tidy

• Process incoming and outgoing mail, accept and sign for deliveries, and ensure accurate paperwork flow

• Record and store lost property

• Implement and maintain systems for tracking guest meals, revenues from services, added services, and special event revenue

• Be responsible for communications and public relations with residents, family members, staff, and the general public

• Assist the Life Enrichment team with setting up and taking down programs, activities, and special events as required

• Create and distribute the daily resident census

• Maintain necessary contact lists, including residents, emergency contacts, family members, and staff

• Maintain effective communication, both written and verbal, with co-workers and supervisory staff

• Perform other duties as assigned by the Office Manager or delegate

• Comply with all corporate policies and procedures

• Complete all required mandatory training and education

• Comply with the Occupational Health and Safety Act, Workplace Safety and Insurance Act, and Workplace Hazardous Material Information System/Globally Harmonized System

Requirements

• Minimum of grade 12 education required

• Minimum two years' experience in a receptionist or clerical role within a hospitality setting (considered an asset)

• Basic bookkeeping experience is preferred

• Proven typing and general office administration skills

• Ability to communicate effectively, both written and verbally, in the English language

• Ability to work with minimal supervision and demonstrate a strong ability to problem solve

• Proficient computer skills, including Microsoft Office Suite, Word, and Excel

• Demonstrated multi-tasking skills and the ability to work well independently and in a team environment

• Resident-oriented individual whose values and vision align with those of Verve Senior Living
