Job Title: Financial Services Assistant

We are seeking a highly organized and detail-oriented Financial Services Assistant to join our team at SISIP Financial in Esquimalt, British Columbia.

Job Summary:

The Financial Services Assistant will provide administrative support to our financial professionals, ensuring the smooth operation of our branch. This role involves greeting clients and guests, responding to inquiries, and providing proactive support to book appointments and follow up on matters as directed by our financial professionals.

Key Responsibilities:
  • Provide administrative support to financial professionals, including answering calls, booking and confirming appointments, and other office tasks as required.
  • Ensure the smooth operation of the branch, working collaboratively with branch colleagues and internal and external business partners.
  • Order office supplies, service office equipment, and arrange for servicing as needed.
  • Communicate with managers and colleagues on issues and changes that arise daily.
  • Provide administrative support and coverage, including managing the advisors' calendar and schedules as needed.
  • Open and close the branch office, ensuring all files are locked at the end of the day and opened during business hours.
  • Respond to web and general phone inquiries as assigned from the central operations team within 24 hours.
  • Create and maintain the branch calendar of events, briefings, vacations, special days, etc.
  • Prepare, key in, edit, and proofread correspondence, invoices, presentations, briefings, reports, and related material.
  • Process mail, faxes, courier, and shipping as required.
  • Check the branch voicemail and manage the branch phone line, responding to questions and referring matters to internal and external partners.
  • Sort, process, verify, transmit, and file applications, receipts, expenditure, tax returns, mutual funds, cheques, forms, and other documents.
  • Transfer member files within SISIP offices.
  • Prepare new client files for advisory professionals.
  • Provide administrative, client service, and business development support to advisors.
  • Place outbound calls and manage incoming calls, responding to requests for information.
  • Respond to information requests from clients regarding their accounts and services offered.
  • Organize and coordinate all conference calls and webinars.
  • Greet visitors, ascertain the nature of their business, and direct them to the appropriate person.
  • Contact clients to arrange appointments, reviews, or advise of deficiencies in completed forms.
Qualifications:
  • College diploma or certificate in Office Administration, Business Administration, or a related field, and 1-2 years of experience in office administration, banking, or a related field.
  • OR
  • High school diploma and several years of experience in Financial Services Administration.
