The Financial Services Assistant (FSA) provides efficient client service and support of administrative tasks for the Branch team of financial professionals. The FSA will greet client and guests, respond to client inquiries and proactively connect with clients to book appointments and follow up on matters as directed by the financial professionals.


The Financial Services Assistant provides administrative support to Advisory Professionals including answering calls, booking and confirming appointments and other office tasks as may be required. The Financial Services Assistant ensures the smooth operations of the branch and works collaboratively with branch colleagues and internal and external business partners.


The FSA will work on site at a dedicated branch* located in Esquimalt and will work Monday to Friday from 8:00 am to 4:00. Candidates for this role must be comfortable working independently and leveraging technology and traditional working processes. The FSA may provide support to Financial Advisory Professionals in other branches as may be required. (*Note, we are planning construction for our branch location, therefore there may be times when the FSA will be required to work remotely, however the usual working protocol is to be on location 5 days a week)


Responsibilities:

● Order office supplies, service office equipment and arrange for servicing, as required.

● Communicate with managers, colleagues on issues/ changes that arise daily.

● Provide administrative support/coverage, including managing the Advisors’ calendar/schedules as needed.

● Open and close branch office

● Respond to WEB and general phone inquiries as assigned from central operations team inquiries within 24 hours.

● Ensure all files are locked at end of day and opened during business hours.

● Create and maintain branch calendar of events, briefings, vacations, special days, etc

● Prepare, key in, edit and proofread correspondence, invoices, presentations, briefings, reports, and related material.

● Process mail, faxes, courier, and shipping as may be required.

● Checks branch voicemail and manages the branch phone line and responds to questions and refers matters to internal and external partners.

● Sort, process, verify, transmit and file applications, receipts, expenditure, tax returns, mutual funds, cheques, forms, and other documents.

● Transfer member files within SISIP offices

● Prepare new client files for advisory professionals.

· Provide administrative, client service and business development support to advisors.

· Place outbound calls and manage incoming calls and responding to requests for information.

· Respond to information requests from clients regarding their accounts and services offered.

· Organizing and coordinating all conference calls & webinars

· Greet visitors: ascertain nature of business and direct visitors to the appropriate person.

· Contact clients to arrange appointments, reviews, or advise of deficiencies in completed forms.


Qualifications:

  • College diploma or certificate in Office Administration, Business Administration or related field AND 1-2 years experience in office administration, banking or in a related field

  • High school diploma AND several years of experience in Financial Services Administration
