Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Recrutement. The successful candidate will be responsible for providing administrative support to our staff and ensuring the smooth operation of our office.

Key Responsibilities
  • Answer and direct telephone calls
  • Manage contact lists and update them as necessary
  • Draft and distribute emails, correspondence notes, letters, faxes, and forms
  • Develop and maintain a filing system and ensure that all documents are up-to-date and easily accessible
  • Order office supplies and negotiate with suppliers to ensure the best prices
  • Provide general support to visitors and ensure that they are greeted warmly and efficiently
  • Act as a point of contact for internal and external customers and respond to their inquiries in a timely and professional manner
  • Perform administrative tasks such as filing, typing, copying, binding, scanning, and other tasks as required
  • Cover the reception desk and ensure that it is always staffed during working hours
  • Maintain computer and manual filing systems and ensure that all data is accurate and up-to-date
  • Manage sensitive information confidentially and ensure that all data is protected
  • Respond to inquiries by email, telephone, or in person and provide information and support as required
  • Develop and update administrative systems to make them more efficient and effective
  • Receive, sort, and distribute mail and ensure that all correspondence is handled promptly and efficiently
  • Answer and forward phone calls and ensure that all messages are relayed to the relevant staff member
  • Keep employee leave records up to date and ensure that all staff are aware of their leave entitlements
  • Compile pay schedules and ensure that all staff are paid accurately and on time
  • Coordinate repairs to office equipment and ensure that all equipment is in good working order
  • Welcome and help visitors and ensure that they are provided with a warm and welcoming experience
  • Photocopy and print documents on behalf of other colleagues and ensure that all documents are accurate and up-to-date
Requirements
  • Proven experience as an office secretary or administrative assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, such as printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, Word, Néthris payroll system, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High school diploma; additional qualification as administrative assistant or secretary will be an asset
Contractual Information

SALARY: $20/H to $25/H DEPENDING ON EXPERIENCE

SCHEDULE: 8:30 AM TO 4:30 PM

DAY: MONDAY TO FRIDAY

POSITION: PERMANENT
