Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to our office, including answering and directing telephone calls, managing contact lists, and drafting and distributing emails and correspondence.

Key Responsibilities
  • Answer and direct telephone calls in a professional and courteous manner
  • Manage contact lists and ensure they are up to date
  • Draft and distribute emails and correspondence
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and find new offers and suppliers
  • Provide general support to visitors
  • Act as point of contact for internal and external customers
  • Provide information by responding to questions and requests
  • Ensure the operation of equipment by fulfilling preventive maintenance requirements
  • Maintain inventory of supplies by checking stocks to determine inventory level
  • Perform administrative tasks such as filing, typing, copying, binding, scanning, etc.
  • Cover the reception
  • Maintain computer and manual filing systems
  • Manage sensitive information confidentially
  • Respond to inquiries by email, telephone or in person
  • Develop and update administrative systems to make them more efficient
  • Receive, sort and distribute mail
  • Answer and forward phone calls
  • Keep employee leave records up to date
  • Compilation of pay schedules
  • Coordinate repairs to office equipment
  • Welcome and help visitors
  • Photocopy and print documents on behalf of other colleagues
Requirements
  • Proven experience as an office secretary
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, such as printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, Word, Néthris payroll system, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High school diploma; additional qualification as administrative assistant or secretary will be an asset
Contractual Information

SALARY: $20/H to $25/H DEPENDING ON EXPERIENCE

SCHEDULE: 8:30 AM TO 4:30 PM

DAY: MONDAY TO FRIDAY

POSITION: PERMANENT
