About the Role:

We are seeking an experienced and organized Senior Office Coordinator to join our team at AD MECHANICAL LTD. As a key member of our operations team, you will be responsible for providing administrative support, coordinating events, and ensuring the smooth day-to-day operation of our office.

Responsibilities:

  • Coordinate seminars, conferences, and other events, including arranging logistics and catering
  • Manage budgets and expenditures, ensuring cost-effectiveness and compliance with company policies
  • Develop and implement effective procedures and processes to improve operational efficiency
  • Provide training and guidance to junior staff members
  • Take minutes of meetings, seminars, and conferences, and distribute them to relevant parties
  • Schedule appointments, manage calendars, and coordinate travel arrangements
  • Respond to employee inquiries and resolve complaints in a professional and timely manner
  • Procure office supplies and maintain inventory levels
  • Arrange transportation and make reservations as needed
  • Greet visitors and direct them to the appropriate contacts or service areas
  • Deliver exceptional customer service, responding to customer inquiries and resolving issues efficiently
  • Maintain and update digital databases, ensuring accurate and up-to-date information
  • Plan, organize, direct, control, and evaluate daily operations, identifying opportunities for improvement and implementing changes as necessary

Supervision:

  • Direct supervision of 3-4 team members
  • Permanent full-time position, working 40 hours per week
  • English language proficiency required

Compensation:

The estimated annual salary for this role is $55,000-$65,000, depending on experience and qualifications.
