Job Summary

We are seeking an experienced High-Level Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to our management team, including preparing confidential documents, coordinating meetings and managing special projects.

Key Responsibilities

  1. Prepare confidential documents, reports and presentations for senior executives and external stakeholders;
  2. Coordinate meetings, events and travel arrangements for senior executives and teams;
  3. Manage special projects, including research, data analysis and budgeting;
  4. Develop and maintain effective filing systems and databases to ensure accurate and timely access to information;
  5. Provide exceptional customer service to internal and external stakeholders, responding to inquiries and resolving issues promptly and professionally;
  6. Collaborate with cross-functional teams to achieve business objectives and improve processes;
  7. Stay up-to-date with industry trends and best practices to continuously improve skills and knowledge;
  8. Analyze and interpret data to inform business decisions and drive growth;
  9. Develop and implement process improvements to increase efficiency and productivity;
  10. Ensure compliance with company policies and procedures, including confidentiality agreements and data protection regulations.

Requirements

  • 3-5 years of experience in administration, preferably in a senior role;
  • Diploma or degree in Business Administration, Secretarial Studies or related field;
  • Exceptional communication and interpersonal skills, with ability to build strong relationships with colleagues, stakeholders and clients;
  • Strong organizational and time management skills, with ability to prioritize tasks and manage multiple projects simultaneously;
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook;
  • Ability to analyze and interpret data, with knowledge of statistical software and tools;
  • Experience with database management and data analysis software, such as Smartsheet;
  • Knowledge of Adobe Creative Suite, particularly Acrobat and Photoshop;
  • Excellent problem-solving and analytical skills, with ability to think critically and outside the box;
  • Ability to work independently and collaboratively as part of a team;
  • Flexible and adaptable, with willingness to take on new challenges and responsibilities.

Estimated Salary

$55,000 - $65,000 per year, depending on experience.
