Job Summary

The Payroll Administrative Assistant plays a vital role in supporting the finance operations of PepsiCo Beverages Canada. This position is responsible for providing payroll and general administrative support for the Ottawa location.


Key Responsibilities
  • Review and adjust timecards to ensure accuracy.
  • Generate and facilitate the review of the CCO and CATS reports on a weekly basis.
  • Produce the employee roster report and facilitate its review.
  • Monitor pay progression and make adjustments as needed.
  • Track and flag sick/vacation usage for department leaders.
  • Process invoices and track payment.
  • Manage VISA imaging and allocation.
  • Process invoices on APS.
  • Follow up on open POs to ensure timely receipt of invoices.
  • Manage badge access into the building.
  • Lead day one onboarding for new hires and seasonal employees.
  • Filing GCS, quality, and safety documentation.
  • Maintain key safety and quality trackers.
  • Provide ongoing support to the Ottawa team.

Requirements
  • Three to five years of administrative experience required.
  • Completion of an administrative or office management program is preferred.
  • A high school diploma is required.
  • Professional accomplishments demonstrating self-motivation and initiative are necessary.
  • Strong computer skills in Word, Excel, and PowerPoint are required.
  • Excellent communication and customer service skills are essential.
  • Ability to multitask is crucial.
  • Attention to detail and strong organizational skills are required.
  • Must be self-motivated, punctual, and demonstrate professional maturity.
  • Experience with payroll and invoicing programs is beneficial.
  • Previous payroll experience is an asset.
  • Kronos and SAP experience are also assets.
  • Microsoft Office experience is required.
