At Fluid, a renowned workforce solutions provider, we are seeking a highly skilled and experienced Executive Support Professional to join our team in Montreal. This is an exceptional opportunity for a motivated individual to work closely with our senior executive team, providing administrative support, coordinating meetings, and managing confidential information.

The ideal candidate will possess a Bachelor's degree in business administration and a minimum of 3-5 years of experience as an Executive Assistant or in a similar role supporting senior-level executives. They will have proven expertise in managing complex calendars, travel arrangements, and confidential information, as well as proficiency in MS Office.

We offer a competitive salary range of $65,000 - $90,000 per annum, depending on experience, plus benefits and opportunities for growth and professional development.

The responsibilities of this role include:

  • Managing and maintaining the executive's schedule, including scheduling meetings, appointments, and travel arrangements.
  • Coordinating internal and external meetings, ensuring all logistics, materials, and resources are prepared in advance.
  • Acting as the primary point of contact between the executive and internal/external stakeholders, handling inquiries, correspondence, and phone calls in a professional manner.
  • Organizing and coordinating domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Preparing meeting agendas, taking minutes, and following up on action items to ensure timely completion.
  • Maintaining and organizing confidential files, records, and documents in both electronic and physical formats.
  • Assisting in managing projects and initiatives, tracking progress, and ensuring deadlines are met.
  • Processing expense reports, tracking expenses, and ensuring all receipts and documentation are accurately submitted in a timely manner.
  • Building and maintaining strong relationships with internal teams, clients, partners, and vendors.
  • Handling ad-hoc requests, special projects, and administrative tasks as required to support the executive's needs.
  • Monitoring budgets for travel, meetings, and other activities, ensuring adherence to financial guidelines.
  • Conducting research, gathering information, and providing insights to support decision-making.
  • Assisting with preparing and distributing reports, presentations, and other materials.
  • Arranging and managing all aspects of meetings, conferences, and events, including venue bookings, catering, and technology setup.
  • Ensuring all travel logistics are arranged efficiently and cost-effectively.
  • Drafting, editing, and proofreading emails, reports, presentations, and other documents as needed.

To be successful in this role, you must possess excellent leadership and time, task, and resource management skills, as well as the ability to plan for and keep track of multiple projects and deadlines. You should also be proficient in budget planning and enforcement, human resources, and customer service procedures.
