Administrative Coordinator

This position offers a competitive hourly wage of $27.00 and provides an opportunity to support a dynamic team in a fast-paced environment.
Key Responsibilities:- Represent the firm professionally and courteously in all communications, both written and verbal.
- Respond to visitors and telephone calls promptly and effectively.
- Coordinate, print, and file annual tax packages (T1, T2, T4, T5).
- Organize meeting and event logistics, including booking rooms, arranging meals, equipment, and materials, handling RSVPs, setting up conference calls or video conferences, and managing travel arrangements.
- Research, collect, prepare, and distribute materials for internal and external meetings.
- Manage electronic and paper-based files, including e-signature and digital archiving.
- Maintain and update databases and registers.
- Track planning, engagement, and legal correspondence.
- Prepare, edit, and proofread documents, proposals, and presentations.
- Prepare, update, print, assemble, and file financial statements and tax-related forms.
- Assist with billing processes and invoice preparation, including collections.
- Provide support for firm technology and updates to processes and policies.
- Review and suggest improvements to internal systems and processes.
- Provide backup support for the front desk as required.
- Must be legally eligible to work and reside in Canada.
- Demonstrates exceptional interpersonal skills with clients and team members.
- Exhibits sound judgment in handling confidential and sensitive matters.
- Self-directed learner with strong initiative and ability to follow direction.
- Basic knowledge of office equipment and IT troubleshooting.
- Innovative, adaptable, and able to handle multiple priorities.
- High attention to detail and accuracy.
- Professional, discreet, and maintains integrity in all duties.
- Post-secondary education with administrative and accounting knowledge.
- Minimum of 2 years of experience in a fast-paced administrative role supporting senior staff.
- Positive attitude and capability to manage multiple tasks efficiently.
