Medical Secretary Role

As a key member of the healthcare team, the Medical Secretary provides administrative support within a team setting. This includes maintaining a safe environment for patients, families, and staff by adhering to safety policies, procedures, guidelines, and emergency procedures.

Responsibilities

  • Receive and direct calls from patients and other sources.
  • Determine the urgency of incoming calls and take appropriate action.
  • Relay information to and from clinical staff and outside facilities.
  • Coordinate appointments and tests for patients in collaboration with the clinical team.
  • Access patient information systems to retrieve patient data as needed.
  • Greet visitors and handle inquiries.
  • Arrange meetings and conferences, and prepare associated materials.
  • Open, screen, prioritize, and distribute mail.
  • Format and edit documents for correspondence.
  • Assist with collecting, collating, and preparing reports as required.
  • Support clinicians in preparing research documents and grant applications.
  • Perform other related duties as assigned.

Requirements

  • Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription, and three years' recent related experience or an equivalent combination of education, training, and experience.
  • Ability to keyboard at 50 wpm.
  • Effective communication and interpersonal skills.
  • Ability to organize work and operate related equipment.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada.
