Job Summary:

We are looking for a highly organized and detail-oriented Administrative Coordinator to support our operations team. The successful candidate will be responsible for coordinating seminars, conferences, and other events, scheduling appointments, and managing correspondence.

Key Responsibilities:
  • Seminar and Event Coordination: Arrange and co-ordinate seminars, conferences, etc., ensuring timely and efficient execution.
  • Appointment Scheduling: Schedule and confirm appointments with clients and stakeholders, maintaining a professional and courteous demeanor.
  • Correspondence Management: Answer telephone and relay telephone calls and messages, as well as respond to electronic enquiries in a timely and accurate manner.
  • Data Compilation: Compile data, statistics, and other information to support business decisions and operations.
  • Office Supplies and Inventory: Order office supplies and maintain inventory levels to ensure seamless day-to-day operations.
  • Customer Service: Greet people and direct them to contacts or service areas, providing exceptional customer service at all times.
  • Information Filing Systems: Set up and maintain manual and computerized information filing systems, ensuring accuracy and accessibility.
  • Reporting and Correspondence: Assemble data and prepare periodic and special reports, manuals, and correspondence as required.
Requirements:
  • Education: College/CEGEP diploma or equivalent experience.
  • Experience: 1 year to less than 2 years of relevant work experience or equivalent experience.
  • Computer Skills: Proficient in MS Excel, MS Outlook, MS PowerPoint, MS Windows, and MS Word.
  • Language: Fluency in English (work language).
  • Work Conditions: Ability to work in a fast-paced environment with attention to detail, repetitive tasks, and teamwork.
  • Personal Suitability: Organized, team player, reliable, efficient interpersonal skills, and ability to adapt to changing priorities.
