Job Summary

We're seeking a highly organized and detail-oriented Administrative Project Specialist to join our team. As the first point of contact for clients and visitors, you'll be responsible for maintaining a positive and professional image of our company.

Responsibilities
  1. Reception and Administrative Duties: Perform tasks such as expense reports, calendar management, supplies ordering and inventory, and other administrative tasks as needed.
  2. Travel Arrangements: Assist with out-of-town travel arrangements, including project-related travel, inter-office visits, and conferences.
  3. Facilities Management: Coordinate resolution of facilities issues with the primary leaseholder and landlord.
  4. Project Support: Assist project staff with formatting, collating, printing, and submitting proposal responses, project reports, meeting materials, and permit submittals.
  5. Accounts Receivable: Provide collection support by verifying receipt and payment status with clients' accounts payable staff.
  6. Contact Management: Add and manage contacts in our database system.
  7. Data Retrieval: Pull requested data from external sources.
Requirements
  • Experience: 2+ years of experience working in a professional office environment.
  • Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint, Teams), strong organizational skills, attention to detail, effective proofreading, verbal and written communication skills.
  • Education: Post-secondary education or certification in programs related to Administrative Professional and Business Administration is a plus.

Compensation

Our estimated salary range for this position is $60,000 - $80,000 per year, depending on experience and qualifications. This figure is based on industry standards for similar roles in the Edmonton area.
