Job Description:

As a Project Coordinator, you will provide high-level administrative assistance and support to our Project Managers. Your role will involve ensuring each claim is completed as specified by the insurance company. This includes acquiring estimates from sub-trades, scanning and filing invoices and information related to each file, completing estimates for each claim, sending invoices to adjusters and insureds, and collecting work Authorizations and Completion Certificates.

Responsibilities:
  1. Acquiring estimates from sub-trades
  2. Scanning and filing all invoices, time sheets and information related to each file
  3. Completing estimates for each claim including sketches, determining line items and costs
  4. Sending invoices to adjusters and insured's
  5. Aiding with accounts receivable collections on files as required
  6. Collecting work Authorizations and Completion Certificates
  7. Scheduling appointments for subs-trades, shop staff and Project Managers to ensure work is completed
  8. High volumes of data entry to update and manage internal and external databases which includes Encircle and Xactanalysis
Requirements:

To be successful in this role, you will require:

  • 3-5 years of experience in an intermediate to senior administrative support capacity
  • Bachelor's degree in Business Administration or related field (or equivalent experience)
  • Excellent skills in Microsoft Office programs, including Word, Outlook, and Excel
  • Extensive data entry experience with a high degree of accuracy
  • Solid understanding of the accounting billing cycle
  • Clear understanding of construction terminology (an asset)
  • Previous work in the insurance industry, construction, restoration or mechanical industry (an asset)
