Job Description:

We are looking for a skilled Project Administrator to join our team. As a key member of our administration department, you will be responsible for providing exceptional support to our project managers and teams.

">

Main Responsibilities:

  • ">
  • All accounts payable and receivable functions">
  • Complete monthly progress billing (statutory declarations, submittals, and total monthly costs)">
  • Creation of work orders">
  • Costing of projects/work orders">
  • Material tracking">
  • Labour tracking">
  • Payroll">
  • Presentation of a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and any other parties or stakeholders">
  • Maintenance of a clean, tidy, and organized office environment">
  • Coordination with project managers and management to develop reports from field information for clients">
  • Answering and/or redirecting calls, emails, or visitors as required, while providing excellent professional customer service">
  • Management of office correspondence such as mail, general email inbox, and filing hard copy and electronic documents">
  • Administration and management of inbound and outbound packages and materials (shipping & receiving admin), including tracking and follow up; Receipt of payments, deposit of cheques, and processing of credit card transactions">
  • Completion of monthly progress billing (statutory declarations, submittals, and total monthly costs)">
  • Monitoring of office supply inventory levels; placement of orders as required; and arrangement for servicing of office equipment">
  • Assistance in the compilation of data for various reports as required">
  • Maintenance and streamlining of office filing system">
  • Additional office-related tasks as required.">

Requirements:

">

We are seeking a self-starter with 5+ years' experience working in a construction office environment. Post-secondary education is considered an asset.

">

Candidates must be proficient with multiline phone systems and able to manage a high volume of calls. Strong verbal and written communication skills are essential.

">

Able to collaborate with project stakeholders and interpret their ongoing needs, extensive experience using MS Office programs (Excel, Word, Outlook) is necessary.

">

Able to work effectively both independently and as part of a team, ability to work on tight deadlines, strong organizational and planning skills with the ability to prioritize.

">

Familiarity with construction management concepts and general contractor processes is considered an asset.

">

This is a full-time, in-office position (Monday - Friday, 8:00AM - 4:00PM).

">

Estimated Salary: $65,000 - $85,000 per annum.
