Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Empire Marketing Inc. as an Administrative Coordinator. This role will be responsible for providing administrative support to our team, ensuring the smooth operation of our office, and maintaining accurate records.

Key Responsibilities
  • Administrative Support
    • Provide administrative assistance to the team, including scheduling appointments, managing calendars, and coordinating travel arrangements.
    • Prepare and edit documents, reports, and presentations as required.
    • Develop and maintain accurate and up-to-date records, including filing systems and databases.
  • Office Management
    • Ensure the office is well-organized and equipped with necessary supplies and equipment.
    • Manage and maintain office equipment, including printers, scanners, and photocopiers.
    • Coordinate and arrange meetings, seminars, and conferences as required.
  • Communication
    • Respond to phone calls, emails, and other correspondence in a professional and timely manner.
    • Develop and maintain relationships with clients, vendors, and other stakeholders.
  • Computer and Technology
    • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
    • Experience with Google Docs and other cloud-based applications.
  • Security and Safety
    • Ensure compliance with company policies and procedures regarding data security and confidentiality.
    • Participate in regular security and safety training and drills.
  • Work Conditions and Physical Capabilities
    • Work in a fast-paced office environment with multiple priorities and deadlines.
    • Ability to lift up to 25 pounds and stand for long periods.
  • Personal Suitability
    • Excellent communication and interpersonal skills.
    • Ability to work independently and as part of a team.
    • Highly organized and detail-oriented with excellent time management skills.
    Requirements
    • 1-2 years of experience in an administrative role.
    • High school diploma or equivalent required.
    • Post-secondary education in a related field an asset.
    • Proficient in Microsoft Office and Google Docs.
    • Excellent communication and interpersonal skills.
