Job Summary:

The Administrative Assistant III performs advanced purchasing and stock work for the Texas Department of Aging & Disability Services. This role involves oversight of purchasing, receiving stock, maintaining individual tool inventory lists, and preparing specifications for future needs.

Key Responsibilities:
  • Perform advanced purchasing and stock work, including oversight of purchasing, receiving stock, and maintaining individual tool inventory lists.
  • Prepare specifications for future needs and initiate purchase requests.
  • Cost out purchases to individual jobs and prepare reports.
  • Maintain information within the CAFM work order program.
  • Function as backup to the CAFM Manager.
  • Perform correspondence required as Secretary to Plant Maintenance Manager, preparing reports and meeting minutes, and recording employee time.
  • Schedule employees for in-service, refresher, and required training.
Essential Job Functions:
  • Attend work on a regular and predictable schedule in accordance with agency leave policy.
  • Perform other duties as assigned.
  • Prepare and oversee the preparation of all purchases for the Maintenance Department through the People Soft Requisition and Lawson applications.
  • Ensure acquisition of material in a timely manner for job orders and special projects.
  • Ensure accuracy of items purchased and transfer of payment approval of invoices to Accounts Payable.
  • Ensure utilization of stock items and sustain quotas.
Knowledge, Skills, and Abilities:
  • Considerable knowledge of business terminology, spelling, grammar, arithmetic, and office practices and procedures.
  • Skill in operating standard office machines and personal computers.
  • Ability to understand and carry out complex oral and written instructions.
  • Ability to prepare and maintain complex records and files.
  • Ability to meet and deal effectively with the public.
  • Ability to make decisions in accordance with rules, regulations, and procedures.
