Job Title: Medical Office Coordinator

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Olive Tree Medical Clinic.

Key Responsibilities:
  • Interview patients to obtain case histories and maintain accurate records
  • Manage incoming mail and other materials, and distribute them to the relevant staff members
  • Schedule and confirm appointments, and maintain a smooth workflow
  • Train staff in procedures and software, and ensure they are up-to-date with the latest protocols
  • Complete insurance and claim forms, and maintain a secure filing system
  • Order supplies and maintain inventory, and ensure the office is well-stocked
  • Determine and establish office procedures and routines, and ensure they are followed by all staff members
  • Enter and format medical reports and correspondence, and prepare spreadsheets and documents for review
  • Initiate and maintain confidential medical files and records, and ensure they are secure and up-to-date
  • Prepare draft agendas for meetings, and take, transcribe, and distribute minutes
  • Provide exceptional customer service, and ensure patients feel welcome and supported
Requirements:
  • College, CEGEP, or other non-university certificate or diploma from a program of 1-2 years
  • 1-2 years of experience in a medical office setting
  • Excellent communication and interpersonal skills
  • Ability to work under pressure and maintain attention to detail
  • Flexibility and ability to adapt to changing priorities
