We are seeking a highly organized and detail-oriented Nursing Administrative Assistant to join our team at Health Association Nova Scotia. This role will provide administrative support to the Director of Care and Administrator, facilitating clerical operations and responsibilities for the Nursing Department.
Key Responsibilities- Prepare chart packages for new admissions, respite, and other services.
- Maintain resident charts in an organized manner, disassemble and reassemble charts upon discharge, and perform chart thinning according to guidelines.
- Manage resident information and the flow of such information throughout the facility, ensuring checklists are executed and completed, and notify all in-house departments.
- Organize and implement Care Conference meetings, book appointments for residents and family conferences, and document on house calendars.
- Support the OH&S Committee through minute-taking and posting reports, maintain the Nursing Department Materials & Supplies Stores Room in good order, and perform yearly inventory counts and reports.
- Complete a variety of office duties, including filing, photocopying, inventory maintenance, and restocking forms and office supplies.
- Grade 12 academic and a graduate of a Medical Office Assistant program.
- Minimum 3-5 years of experience in a Long-Term Care environment or equivalent experience preferred.
- Demonstrated commitment to excellent resident care.
- Solid understanding of charting/medical records standards of practice, including policies and procedures related to Long-Term care, good working knowledge of office procedures, detail-oriented.
- Alzheimer's and other related Dementia Care Course an asset.
- Advanced computer literacy skills, including MS Suite of products (Word, Outlook, and Excel).
- Well-organized, flexible, resourceful, with demonstrated ability to multi-task, work cooperatively as a member of a multi-disciplinary team, problem-solve, plan, set priorities, and work independently.
- Available to work shift work as required.
- Physical Requirements - Must be able to perform duties that involve lifting/carrying (up to 20-30 lbs.), bending, stretching, walking.
- Valid Driver's License and access to a reliable vehicle to transport items to Lab/Pharmacy/Optical/Hearing facilities.
- Transportation of Dangerous Goods training.
- Understanding of the importance of confidentiality in healthcare.
