Job Summary

This Administrative Assistant role is responsible for providing administrative support to the Nova Scotia Community College team. The successful candidate will be responsible for managing budgets and trial balances, creating flyers for advertising workshops, managing workshop participants' payments/receipts, managing the website, managing workshop room bookings, managing center resources and tracking resource loans, answering phones and providing related information, and other sundry clerical duties.

Key Responsibilities

  • Manage budgets and trial balances to ensure accurate financial reporting.
  • Create flyers for advertising workshops to promote the college's programs and services.
  • Manage workshop participants' payments/receipts to ensure timely and accurate processing.
  • Manage the website to ensure it is up-to-date and accurate.
  • Manage workshop room bookings to ensure efficient use of resources.
  • Manage center resources and track resource loans to ensure they are used effectively.
  • Answer phones and provide related information to students, staff, and the public.

Qualifications and Requirements

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Administrative Professional/Office Administration combined with a minimum of two years' recent and related experience in a fast-paced office environment.
  • Occupational experience that includes early childhood education would be considered an asset.
  • Occupational experience in the following areas would be considered an asset:
  • Front-line customer service role in a post-secondary institution.
  • Operating Point of Sale systems.
  • Handling cash, debit, and credit card transactions.
  • Familiarity with and comfort using computer applications such as the Microsoft Office Suite including Outlook/email and Microsoft Teams.
  • Comfort working in a digital environment and taking responsibility for acquiring knowledge about advancing technology.
  • Experience in training/facilitation preparation would be considered an asset.
  • Experience supporting/providing service to students and prospective students would be considered an asset.

Selection Criteria

  • Candidates selected for interviews will be expected to provide at least three recent occupational references.
  • The successful candidate will be expected to provide official transcripts to show proof of academic achievements.
