Lead Procurement Specialist

The Lead Procurement Specialist will oversee the procurement process from requisition to receipt by identifying suitable sources, obtaining quotations, and placing orders for material requests through an ERP system. This is a critical role that necessitates exceptional communication, time management, and collaborative skills. The ideal candidate must possess outstanding customer service abilities, work effectively within a team environment, and be solution-oriented.

A typical day in the life of a Lead Procurement Specialist:

  1. Implement the preferred supplier strategy as established by our Procurement department.
  2. Overall management and ownership of non-stock purchasing from requisition to receipt for designated clients, including:
    1. Negotiating individual transactions to achieve the best cost, quality, and delivery timeframe in line with the preferred supplier strategy.
    2. Ensuring acceptable timeframes for converting requisitions to purchase orders.
    3. Maintaining responsibility for on-time delivery performance.
    4. Proactively communicating with suppliers regarding upcoming delivery dates.
    5. Addressing problem transactions and proposing solutions to client users.
    6. Coordinating with the field team on order tracking, shipments, troubleshooting, and responding to inquiries.
    7. Managing Customer Care Specialists to effectively support designated clients.
    8. Defining key performance indicators (KPIs) for Procurement Specialists in alignment with company goals and monitoring them regularly.
    9. Developing and implementing countermeasures for underperforming key processes and/or material suppliers in collaboration with the Supplier Relationship Manager.
    10. Identifying and communicating repeat non-stock purchases to the appropriate Client Procurement Manager.
    11. Establishing a process to report Non-Stock savings and ensuring adherence to reporting guidelines.
    12. Acting as a liaison between suppliers and relevant departments to resolve procurement-related issues.
    13. Managing all invoice exceptions, including accounts payable (A/P) match exceptions related to procurement and expediting open orders.
    14. Providing backup for other accounts as necessary.
    15. Supervising the after-hours program and assisting in schedule implementation.
  3. Travel may be required for client visits as needed.

The skills you'll contribute to our diverse team:

  1. Bachelor's degree preferred, or equivalent work experience (7-10 years of direct procurement experience). Experience in purchasing indirect or maintenance, repairs, and operations (MRO) materials is required.
  2. Fluency in English and French is required (oral and written).
  3. Prior experience in an inbound call center environment is highly preferred.
  4. Demonstrated experience in managing staff.
  5. Must be a motivated self-starter with a strong sense of urgency, follow-up, and a commitment to getting things done correctly the first time.
  6. Proven ability as an effective communicator and relationship builder.
  7. Strong systems knowledge: familiarity with Peoplesoft ERP software and MS Office is preferred.
  8. Excellent attention to detail and ability to multitask.
  9. Strong teamwork skills to assist others and a commitment to team goals and activities.
  10. Willingness to work during some holidays and weekends, as required throughout the year.
