We are seeking a highly organized and detail-oriented individual to fill the role of Administrative Operations Coordinator.

About the Role:

This is an exciting opportunity to join our team as an Administrative Operations Coordinator. As a key member of our department, you will be responsible for providing administrative support to the Assistant Director of Engineering, ensuring the smooth operation of the engineering department.

Responsibilities:

  • Office Administration: Manage and implement the Alice software program for preventative maintenance, as well as perform office administration tasks such as payroll preparation, mail, record keeping, messaging, and communication with internal teams and other departments.
  • GAIA Office Administration: Provide administrative support for GAIA.
  • Flexibility and Prioritization: Demonstrate ability to be flexible and re-organize priorities on a consistent basis.
  • Maintenance of Health & Safety Binders: Maintain the departmental Health & Safety binders.
  • Preventative Maintenance Program: Organize and track the hotel and residence preventative maintenance program.
  • In-House Work with Service Contractors: Organize and track in-house work with service contractors.
  • Compliance: Comply with departmental policies, procedures, and service standards.

Requirements:

  • High Level of Organizational Skills.
  • Experience working in a hotel maintenance environment, including preventative maintenance.
  • Previous exposure to departmental accounting tasks.
  • Experience with contractor scheduling and project administration.
  • Experience with key management and control systems.
  • MS Office skills – Word and Excel essential.
  • Experience using electronic mail and property management systems.
  • Excellent communication skills – written and verbal.

Work Environment:

Fairmont Jasper Park Lodge offers a unique work environment with opportunities to develop lifelong connections. The hotel is located in close proximity to Marmot Basin Ski Resort in winter and world-renowned hiking trails in summer.

Salary:

$45,000 - $55,000 per year, depending on experience.
