About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Black Mamba Motors Freight Inc. As an Administrative Assistant, you will play a critical role in supporting the day-to-day operations of our office.

Key Responsibilities
  • Event Planning: Arrange and coordinate seminars, conferences, and other events to facilitate communication and collaboration within the team.
  • Information Management: Coordinate the flow of information within the team, ensuring seamless communication and data exchange.
  • Supervision: Supervise other workers, providing guidance and support to ensure the successful completion of tasks and projects.
  • Meeting Support: Record and prepare minutes of meetings, seminars, and conferences, ensuring accurate documentation and follow-up actions.
  • Procedure Development: Determine and establish office procedures and routines, ensuring efficiency and effectiveness in our operations.
  • Scheduling: Schedule and confirm appointments, ensuring timely and efficient use of our team's time.
  • Customer Service: Answer telephone and relay telephone calls and messages, providing exceptional customer service and support.
  • Data Analysis: Compile data, statistics, and other information, providing valuable insights to inform our business decisions.
  • Supply Chain Management: Order office supplies and maintain inventory, ensuring our team has the necessary resources to perform their duties.
  • Travel Arrangements: Arrange travel, related itineraries, and make reservations, ensuring smooth and efficient travel arrangements.
  • Reception Services: Greet people and direct them to contacts or service areas, providing a warm and welcoming experience for our clients and visitors.
  • Document Management: Set up and maintain manual and computerized information filing systems, ensuring accurate and efficient document management.
  • Correspondence: Type and proofread correspondence, forms, and other documents, ensuring professional and error-free communication.
  • Training and Development: Prepare and key in correspondence and legal documents, and train staff in procedures and the use of current software.
  • Mail and Package Distribution: Open and distribute regular and electronic incoming mail and other material, ensuring timely and efficient delivery of important documents and packages.
Requirements
  • Education: Secondary (high) school graduation certificate
  • Experience: 1 year to less than 2 years
  • Language: English
  • Work Hours: 35 hours per week
