Position Overview

Ace City Inc. is seeking a dedicated and organized individual to join our team as an Administrative Assistant. This role is crucial in ensuring the smooth operation of our office and supporting various administrative functions.

Key Responsibilities
  • Meeting Coordination: Organize and facilitate seminars, conferences, and meetings.
  • Documentation: Record and prepare minutes for meetings and events.
  • Office Management: Establish and implement office procedures and routines.
  • Scheduling: Manage appointments and confirm schedules.
  • Communication: Handle telephone inquiries and relay messages efficiently.
  • Data Management: Oversee employee data analysis and information management.
  • Inquiry Response: Address electronic inquiries promptly.
  • Data Compilation: Gather and compile statistics and other relevant information.
  • Report Preparation: Supervise the preparation of various reports.
  • Inventory Management: Order and maintain office supplies.
  • Payroll Oversight: Manage payroll administration tasks.
  • Travel Arrangements: Organize travel itineraries and make necessary reservations.
  • Filing Systems: Set up and maintain both manual and digital filing systems.
  • Document Preparation: Type and proofread correspondence and other documents.
Technical Skills
  • Proficient in MS Excel
  • Skilled in MS PowerPoint
  • Experienced with MS Windows
  • Knowledgeable in MS Word
Work Environment
  • Fast-paced and dynamic setting
  • Ability to work under pressure
  • Strong attention to detail is essential
Qualifications
  • Minimum of 7 months to less than 1 year of relevant experience
  • Permanent position with a standard work schedule of 35 hours per week
  • Working language: English
