Position Overview

Under the guidance of the Dean or designated representative, and in collaboration with college personnel, educators, and administrative staff, this role is tasked with enhancing various programs at the College of New Caledonia. The Program Planner will provide essential leadership and direction, aligning with institutional and industry requirements for specific program domains. This position will lead in resolving challenges and managing administrative tasks and communications. Additionally, the role involves assisting with the allocation and management of faculty workloads; analyzing and reporting on departmental finances, operational practices, and procedures; offering advice and support throughout the School to optimize efficiency; implementing system and procedural changes; and executing a range of unique administrative tasks.

Key Responsibilities

  1. Facilitate faculty and staff engagement in accreditation, program evaluations, and quality assurance initiatives as designated by the Academic Quality Assurance and Program Review teams.
  2. Compose memos, letters, briefing documents, business proposals, and other necessary communications.
  3. Conduct research, draft, and present evidence-based reports and proposals to support program development efforts, including needs assessments, environmental evaluations, labor market studies, and business proposals.
  4. Prepare additional relevant program proposals and reports for both internal and external stakeholders.
  5. Assist in formulating policies and procedures for the School, and generate required documentation.
  6. Serve as the primary contact for staff, instructors, and program coordinators to ensure the accuracy and completeness of all administrative documentation.
  7. Maintain knowledge of relevant collective agreements and their stipulations.
  8. Act as a resource for faculty, students, staff, and the community regarding CNC and divisional/program-related matters.
  9. Collaborate with faculty subject matter experts, curriculum developers, and college departments to support the creation of new courses and programs, guiding course and program proposals through the Education Council approval process.
  10. Develop and manage project timelines.
  11. Monitor, assess, and report on various projects.
  12. Oversee, track, and report on project financials.
  13. Contribute to the annual budget development for the School.
  14. Assist in formulating the annual School plan and multi-year program strategies.
  15. Coordinate resources and processes for School program offerings across the college region in collaboration with relevant College staff, faculty, administrators, and regional campuses.
  16. Work with other college departments to implement strategic enrollment management plans and initiatives within the School.
  17. Support course workload management, scheduling, and timetabling of School program offerings in conjunction with appropriate College staff, faculty, and departments.
  18. Collaborate with Institutional Research to compile, analyze, and report on program data.
  19. Review and update program information on the CNC website for accuracy in collaboration with relevant College departments.
  20. Contribute to the achievement of the College's vision, mission, and goals while supporting the aspirations and needs of learners and communities.
  21. Foster a positive work environment by communicating professionally and demonstrating mutual respect with students and colleagues.
  22. Perform other duties as assigned by the Educational Administrator or designated representative.

Qualifications & Skills

  1. Bachelor's degree (or higher) in Business Administration/Management, Adult Education, or a related field.
  2. A minimum of 3 years of experience in adult education/training planning and coordination or equivalent program management/administrative experience.
  3. Project Management certification is an asset.
  4. An equivalent combination of education and experience may be considered.
  5. Demonstrated knowledge of curriculum development processes.
  6. Exceptional research and presentation capabilities.
  7. Strong oral and written communication skills; proficiency in written communication is essential.
  8. Excellent organizational and planning abilities, with the capacity to manage multiple projects within specified timeframes.
  9. Proven capability to effectively manage resources for project completion.
  10. Demonstrated experience in gathering, analyzing, integrating, and summarizing complex information, providing accurate and current information and advice.
  11. Experience collaborating with industry/business/community partners in education/training.
  12. Strong problem-solving skills, including the ability to address various unusual conditions through analytical skills and the development of new information.
  13. Ability to manage continuous interruptions and coordinate activities within the unit's work.
  14. Capacity to work independently and meet demanding work schedules and deadlines; demonstrates strong initiative and judgment in professional settings.
  15. Proven ability to maintain positive working relationships (internally and externally) in a high-pressure environment, exercising tact and diplomacy while ensuring confidentiality.
  16. Proficient in relevant technological tools, including word processing, database management, spreadsheets, email, internet, and web-based research technologies.
