Position Overview

We are seeking a dedicated Office Administrative Assistant to enhance our operational efficiency at AYN Immigration Services Ltd. This role is pivotal in ensuring smooth office functions and providing exceptional support to our team.

Key Responsibilities
  • Event Coordination: Organize and manage seminars, conferences, and meetings.
  • Documentation: Accurately record and prepare minutes for meetings and events.
  • Office Management: Establish and maintain effective office procedures and routines.
  • Appointment Scheduling: Schedule and confirm appointments for staff and clients.
  • Communication: Answer phone calls, relay messages, and respond to electronic inquiries.
  • Inventory Management: Order and maintain office supplies, ensuring adequate stock levels.
  • Reception Duties: Greet visitors and direct them to the appropriate contacts or service areas.
  • Filing Systems: Set up and maintain both manual and computerized filing systems for information management.
  • Documentation Preparation: Type and proofread various correspondence and documents.
Qualifications
  • Education: Completion of College or CEGEP.
  • Experience: 1 to 2 years of relevant experience in an administrative role.
  • Technical Skills: Proficiency in MS Office applications.
  • Work Environment: Public transportation is accessible for commuting.
  • Employment Type: Permanent position with a full-time commitment of 40 hours per week.
  • Language Requirement: Proficiency in English is essential.
